- Build and use Word templates for letters, memos and reports so documents start consistent
- Run a mail merge to produce personalised letters, labels or emails from a list
- Review documents with track changes and comments, and accept or reject edits cleanly
- Use PowerPoint slide masters and layouts so every deck follows the company design
- Tame a busy inbox with Outlook rules, folders, categories and search
- Share calendars, manage meetings for a manager, and book rooms without double-booking
- Choose between Teams channels and chats, and co-author files in OneDrive and SharePoint
Who it is for
- Administrative, secretarial and personal-assistant staff
- Support teams in HR, procurement, customer service and operations who produce documents daily
- Offices that have moved to Microsoft 365 and Teams without training anyone on it
- Companies standardising templates, letterheads and slide designs across departments

- Groups who have not yet used a computer for work — see the FAQ below
About the Microsoft Office Essentials: Word, PowerPoint, Outlook and Teams course
This Microsoft Word training also covers PowerPoint, Outlook and Teams, so office staff get faster at the tools they use all day — HRDF claimable, at your premises.
- Administrative and support staff spend their day in Word, PowerPoint, Outlook and Teams, and most of them learned each one by trial and error.
- The signs are familiar: reports formatted by pressing Enter until the heading reaches the next page, a table of contents typed by hand, forty personalised letters produced one at a time, a company slide deck that looks different every time someone edits it, an inbox of several thousand unread messages, and the same file saved in three places with “final” in each name.
- This course fixes those habits across the four applications, in the order the work happens.
- Word covers styles, long documents, automatic tables of contents, templates, mail merge and track changes.
- PowerPoint covers slide masters and on-brand templates, so every deck starts from the company design, and presenting with confidence.
- Outlook covers rules, folders and search for managing volume, and shared calendars for assistants who book meetings for others.
- Teams covers when to use a channel and when to use a chat, running meetings, and working on one shared file in OneDrive or SharePoint instead of emailing copies around.
- It runs as one day for a focused group or two days where Word and PowerPoint need more time.
- Excel is not part of it: spreadsheets have their own course, from basics to advanced, because a team that needs Excel needs more than an hour of it.
Cost and funding
Microsoft Word Training price and HRDF claim
In-house training is priced per group, not per person, and HRDF reimburses it per group too — up to RM10,500 per full day where the provider and course are registered and your company applies before the training. Put in your numbers to see what your levy covers.
The levy ledger
What your company already contributes, what this costs, and what is at risk if nobody claims.

Microsoft Word Training: frequently asked questions
›Is this course suitable for staff who are new to computers?
It assumes participants can already use a computer for work: log in, use a mouse and keyboard, open and save a file, and send an email. From that starting point it suits staff who have used Word and Outlook for years without formal training, which is most of the people who attend.
Staff who have not yet reached that point will find the pace too quick. Tell us during scoping and we will advise on a slower introductory session first, or on splitting the group so newer staff are not rushed and experienced staff are not held back.
›Why is Excel not included?
Because Excel needs more time than a slot in a combined course can give it. Formulas, lookups and PivotTables are a full day on their own, and a team that relies on spreadsheets gets more from the dedicated Excel course. Many employers run both, a few weeks apart.
›Which versions of Office and Outlook are covered?
The course is taught on Microsoft 365 desktop apps, and the same skills apply to Word and PowerPoint 2019 and 2021. Outlook needs a specific check: Microsoft now ships a new Outlook for Windows alongside classic Outlook, and some features differ. Microsoft’s own comparison lists rules as only partly available in new Outlook, and voting buttons and VBA macros as not supported.
If you are not sure which your staff use, new Outlook shows a Settings button in the top bar and classic Outlook does not. We ask during scoping and teach the version your team actually has.
›Can you use our company templates and letterhead?
Yes. Send your current letterhead, report template and slide deck during scoping. The Word and PowerPoint exercises rebuild them properly — with styles and slide masters — so the templates the group leaves with are the ones the company will use.
›One day or two?
One day covers all four applications at a practical level for a group with a clear focus. Two days suits groups who produce long reports or many presentations, because the extra time goes into Word templates, mail merge and slide masters built on your own files.
›Is Microsoft Office training HRDF claimable?
Yes, where the training provider and the specific course are registered with HRDF and the employer applies for the grant early enough for it to be approved at least 14 days before the training starts. The January 2026 cost matrix caps the in-house course fee at RM10,500 per group per full day, not per person, so a full room of support staff makes the claim go furthest.
