Excel for Accountants — HRDF claimable Excel and Power BI training for finance teams
Built around the close calendar: reconciliations, ageing, variances and the management pack, on your own ledgers and exports.
Excel for accountants is the course finance teams in Malaysia ask for most, and run for your team at your office it is HRDF claimable.
- Finance teams do not need to be told Excel matters.
- They live in it.
- What they rarely get is time to step back and see how much of the month-end is spent re-doing work a spreadsheet could do on its own: pasting the same trial balance export into the same template, rebuilding the same ageing buckets, retyping branch figures into a consolidation file, and chasing a variance that turns out to be a lookup pointing at the wrong row.
- This page sets out where the hours actually go in a Malaysian finance function, which Excel and Power BI features change that work, and which of our in-house courses fit which role — from the accounts executive doing bank reconciliations to the financial controller who signs off the management pack.
- Because the training is in-house, the exercises are built on your own chart of accounts, your own system exports and your own reporting template, anonymised or rebuilt as look-alike files where the figures are confidential.
Excel for accountants: where the month-end hours go
Most of the time in a close is not judgement. It is moving data: exporting from the accounting system, cleaning columns, matching one list against another and reformatting the result for the next person. Each step is small, and each is repeated every month by hand.
The four jobs that absorb the most time are reconciliations (bank, intercompany, sub-ledger to general ledger), receivables and payables ageing, variance analysis against budget and prior period, and consolidating files from branches or entities that each keep their numbers slightly differently.
All four follow the same pattern — import, clean, match, summarise — and that pattern is exactly what Power Query, lookup functions and PivotTables were built for.
Task to course: which training covers which job
The table maps common finance tasks to the course that teaches the technique. Most accounts teams start with Excel or Advanced Excel; Power BI comes in when the management pack is going to more readers than the finance team itself.
| Finance task | Technique that changes it | Course |
|---|---|---|
| Bank and sub-ledger reconciliation | XLOOKUP, conditional formatting for unmatched items, FILTER for exceptions | Excel, Basic to Advanced |
| Receivables and payables ageing | Date arithmetic into ageing buckets, PivotTable by customer and bucket | Excel, Basic to Advanced |
| Consolidating branch or entity files | Power Query folder import and append, refreshed each month | Advanced Excel |
| Budget vs actual variance | PivotTables with calculated fields, variance percentage, exception flags | Advanced Excel |
| Management pack for directors | Data model, DAX measures, published report with controlled sharing | Power BI |
| Repetitive formatting and file generation | Recorded and edited macros | Excel VBA |
Excel for accountants: consolidation and the e-Invoice export
Consolidating entity or branch files is where Power Query pays for itself fastest. Instead of opening twelve workbooks and copying ranges, the team points a query at a folder, defines the cleaning steps once — trimming account codes, mapping local account names to the group chart, unpivoting month columns — and refreshes. When a branch sends a late revision, the refresh picks it up without anyone re-pasting.
Malaysian finance teams now have one more recurring export to handle. LHDN is implementing e-Invoicing through its MyInvois system in phases by annual turnover, starting on 1 August 2024 for taxpayers above RM100 million, with later phases for smaller businesses. That produces validated invoice data that has to be matched against what sits in the ledger. The technique is the same as any reconciliation: a clean import, a reliable key, and a list of exceptions. LHDN has revised dates for the smaller bands, so check the current timeline on its site for your own company.
Excel controls for accountants: a spreadsheet an auditor can follow
A fast workbook that only its author can follow is a control problem, not a productivity gain. The courses teach the habits that make a finance file auditable: inputs separated from calculations, Excel Tables so ranges do not silently stop short of new rows, named ranges and structured references instead of cell addresses, and tracing precedents to show where a figure came from.
Power Query helps here too. Its applied steps are a written record of every transformation made to the source data, which is easier to review than a trail of manual pastes. Protecting calculation sheets and locking input cells stops a well-meaning colleague overwriting a formula during the close.
Which role needs which course
Accounts executives and assistants who do the reconciliations and ageing get the most from the two-day Excel course: lookups, date functions, PivotTables and clean data entry. Senior accountants and finance analysts who own consolidations and variance reporting are the audience for Advanced Excel, where Power Query and dynamic arrays sit.
Financial controllers and FP&A staff who produce the management pack for directors benefit most from Power BI, because it replaces the emailed spreadsheet with one published report that everyone reads from the same data. Where a team has mixed levels, the usual answer is two groups on consecutive days rather than one course pitched at the middle.
Timing Excel training around the close, and the HRDF funding
Schedule training away from the first working week of the month and the weeks before audit fieldwork. Mid-month is when finance teams can give a course their attention, and it leaves time to apply the techniques before the next close.
For employers registered with HRDF, a general in-house course is claimable up to RM10,500 per group for a full day under the January 2026 Allowable Cost Matrix — per group, not per person. The grant application must go in early enough for it to be approved at least 14 days before the training starts, where the training provider and the course are registered with HRDF.

Excel for Accountants: frequently asked questions
›Is there Excel training specifically for accountants?
Yes. The content is the same Excel, but the exercises are built on accounting work: reconciliations, ageing, variances and consolidation, using your own exports. That is the main reason finance teams choose in-house training.
›Should our finance team learn Power BI or stay in Excel?
Stay in Excel for reconciliations and working papers. Move the management pack to Power BI when it goes to several readers, needs drill-down, or is rebuilt by hand every month.
Most teams need both, in that order. The Excel vs Power BI guide sets out the split in more detail.
›Our ledger data is confidential. Can the course still use it?
Yes. Send anonymised extracts, or we build look-alike files with your structure — the same columns, account codes and layout — and none of the real figures.
›Does the training cover e-Invoicing?
It covers the spreadsheet side: importing an e-Invoice export, cleaning it and reconciling it against your ledger. It does not cover tax treatment or MyInvois system setup, which are for your tax adviser and system vendor.
›How much can HRDF reimburse for a finance team course?
Up to RM10,500 per group per full day, prorated when there are fewer than 5 trainees. Two full days for a group of eight has a ceiling of RM21,000, where the provider and course are registered and the grant is applied for before the training.
