Excel for Manufacturing — HRDF claimable Excel, Power BI and Power Automate training
Shift reports, OEE-style metrics, quality and inventory — taught at your plant, on the data your lines already produce.
Excel for manufacturing teams in Malaysia starts with the data every shift already produces, and the training is HRDF claimable.
- A factory produces data every shift whether anyone uses it or not: output counts, downtime logs, reject quantities, material issues.
- In most plants that data reaches management through a chain of spreadsheets — a shift supervisor fills a sheet, a clerk consolidates the day, an engineer builds the weekly report — and each link adds delay and a chance for figures to drift.
- Training for manufacturing teams is about shortening that chain.
- Supervisors enter data in a structure that holds up; engineers and planners summarise it without re-keying; and managers see a dashboard that refreshes rather than a report assembled the night before the production meeting.
- Courses run at your plant, in a training room or meeting room near the line, scheduled around shift patterns so each crew can attend without stopping production.
Excel for manufacturing: shift and production reports that do not need re-keying
The shift report is where manufacturing data quality is won or lost. A sheet with free-typed machine names, merged cells and totals typed by hand cannot be summarised reliably. The same sheet rebuilt as an Excel Table, with drop-down lists for machine, product and downtime reason, data validation on quantities and a fixed column layout, can be combined across every shift and line automatically.
From there, SUMIFS and PivotTables give output and downtime by line, shift and reason in seconds, and Power Query appends each day’s shift files into one running history without anyone copying rows.
Excel for manufacturing: OEE-style metrics and quality data
Many plants track an overall equipment effectiveness figure, or a simpler version of it: availability from planned and actual run time, performance from actual against rated output, and quality from good units against total units. The arithmetic is simple. What goes wrong is inconsistent inputs — planned time defined differently per line, or rejects recorded in a different file from output.
The training puts the definitions in one lookup table and calculates every line the same way, so a week-on-week movement reflects the line and not the spreadsheet. The same approach handles quality records: reject reasons coded consistently, Pareto charts of the top causes, and conditional formatting that flags a batch outside tolerance.
Task to course: from the line to the management meeting
Different roles in a plant touch the same data at different points. The table shows which course fits which job.
| Role and task | What they learn | Course |
|---|---|---|
| Supervisors: shift and downtime entry | Tables, validation lists, protected input sheets | Excel, Basic to Advanced |
| Production and quality engineers: daily and weekly analysis | Power Query append, PivotTables, Pareto and control charts | Advanced Excel |
| Planners and store: inventory and material planning | Lookups to BOM and stock files, reorder flags, dynamic arrays | Advanced Excel |
| Plant management: line performance dashboard | Data model, measures by line and shift, published report | Power BI |
| Admin and approvals: purchase requests, overtime, NCRs | Approval flows from Forms and SharePoint lists | Power Automate |
| Maintenance: planned shutdown schedule | Task dependencies, resources, critical path | Project Scheduling |
Excel and Power BI dashboards on the shop floor, approvals off paper
Power BI suits manufacturing because the questions are the same every day: which line is behind, what stopped it, and is quality holding. A report built on the consolidated shift data can run on a screen in the production office and on managers’ phones, refreshed on a schedule, with drill-through from plant to line to shift.
Power Automate takes the paperwork out of routine approvals — overtime requests, purchase requisitions, non-conformance reports — by routing a form submission to the right approver and recording the decision. The Power Automate course includes the governance side: who owns a flow, and what happens when that person leaves.
Microsoft Project training for shutdown planning, delivered at the plant
Planned maintenance shutdowns are projects with hard windows, many parallel tasks and contractors who all need to know the sequence. Maintenance and engineering teams that plan them in a spreadsheet gain the most from the Project Scheduling course, which covers dependencies, resource loading and the critical path on your own shutdown plan.
Training is delivered wherever the plant is — Penang, Johor, the Klang Valley, or Kulim, whose Hi-Tech Park its operator describes as having a strong front-end semiconductor presence. Plants with confidential process data can use look-alike files built from their structure.

Excel for Manufacturing: frequently asked questions
›Can training be scheduled around our shifts?
Yes. Courses can run as repeated batches so each crew attends on its own day, or as half-days where a full day away from the line is not practical. Each half-day group is capped separately by HRDF, at RM6,000 per group.
›Our supervisors rarely use computers. Where do they start?
With the Excel course, pitched at data entry and simple summaries on their own shift sheet. The pre-course skills check tells the trainer where the group is, and supervisors and engineers can be split into separate groups.
›Can you teach Power BI on data from our MES or ERP?
Yes, from the exports those systems produce — CSV, Excel or a database view. Where a direct connection needs IT access, we plan it with your IT team at scoping or work from an extract.
›Does the course calculate OEE the way our customer requires?
The course teaches you to build the calculation from your own definitions. If a customer or group standard defines OEE a particular way, bring that definition to scoping and the exercises use it.
›Is manufacturing training HRDF claimable?
Yes, where the provider and course are registered with HRDF and the grant is applied for early enough for it to be approved at least 14 days before the training starts. A full in-house day is capped at RM10,500 per group under the January 2026 matrix.
